Taking orders

Book a sale with the order composer — pick products, set quantities and prices, and place or save the order.

You can take an order on its own, or while you're inside a visit. This page covers the composer and what each field means.

Add products

  1. Open the composer (New Order from the Quick Actions menu, or New order inside a visit).
  2. Browse the catalog (grouped by category; use the company/category filters or search to narrow it).
  3. Tap a product to open its line sheet, where you set the quantities and price.

The suggested basket

At the top, the suggested basket flags products worth adding — items the outlet is running low on, due to reorder, or a must-sell gap. Tap any suggestion to add it. Suggestions are advice only; you decide what goes on the order.

Set each line

For every product you add, the line sheet asks for:

  • Cartons — how many cartons to order (use the stepper).
  • Price per carton — the price for this line (see below for when it's prefilled vs typed).
  • Credit cartons — the part that's not paid yet. Type 0 if the outlet pays in full now; type the unpaid count if it's on credit.
  • Free cartons — any free cartons on this line (see schemes below).

Note: Credit cartons are required on every line. They tell the system how much of the order is still owed, so the outlet's outstanding cartons stay accurate.

Price list on vs off

How the price behaves depends on your organization's pricing policy:

  • Price list on — the standard rate prefills each line (shown as "@ rate"). You can still override it.
  • Price list off — you type the price on every line (shown as "you type it").

Either way, an empty price never blocks you from saving — but you'll need every paid line priced before you can place the order.

Free cartons from a scheme

If the outlet has earned free cartons from a scheme (for example, "buy X, get Y free"), the line shows a green hint like "Entitled to N free — tap to add". Tap it to add the earned free cartons.

Note: If your organization doesn't allow discretionary free items, free cartons are capped at what the scheme entitles. With discretionary free turned on, you can add free cartons beyond the scheme.

Van Sale vs Planned (Booking)

Choose how the order is fulfilled:

  • Van Sale (deliver now) — you're delivering from the van on this stop.
  • Planned / Booking — a future delivery. Pick a delivery date (Tomorrow, a next-7-days chip, or the calendar).

Save draft or place the order

  • Save draft — keep working on it later. Drafts stay on your phone until you confirm them.
  • Review order — see the summary (cartons, total, on-credit, to-collect-now, the outlet's existing credit), then Place order.

Note: Money totals and your currency come from the system — the app shows them; it doesn't ask you to add them up.

Inside a visit

When you build an order during a visit, it's added to the visit rather than placed straight away. It confirms automatically when you mark the visit complete — so the whole stop goes up on one sync.

  1. Open the composer.
  2. Tap catalog items, or add from the suggested basket.
  3. On each line set cartons, price per carton, credit cartons (0 if fully paid), and free cartons.
  4. Choose Van Sale (deliver now) or Planned (pick a delivery date).
  5. Save draft to finish later, or Review order to check the summary.
  6. Inside a visit, the order is added and confirms when you complete the visit. On its own, tap Place order.

Best practice: Set credit cartons honestly on every line — it's how the outlet's outstanding balance stays correct. If they pay the whole line, type 0.
