Create beat plans

This page helps you build daily routes for your reps and decide who's allowed to create them.

A beat plan is a dated route of outlets for one sales person in one territory — the list of shops a rep should visit on a given day. A good beat plan keeps reps on a coverage schedule and lets you measure whether the planned visits actually happened.

You manage beat plans under Field → Beat Plans.

What's on a beat plan

  • Sales person — the rep the route is for.
  • Territory — the sales area the route runs in.
  • Date — the day the route is planned for.
  • Outlets — the shops to visit, in order. These become the rep's stops on the mobile app for that day.
  • Status — where the plan stands (for example planned, in progress, completed).
  • Route waypoints — the sequence of stops, which the app uses to guide the rep and which route optimization can reorder for a shorter drive.

Create a beat plan

  1. Go to Field → Beat Plans.
  2. Add a new beat plan.
  3. Choose the sales person and the territory.
  4. Set the date for the route.
  5. Add the outlets to visit, in the order you want them covered.
  6. Save. The route appears on that rep's mobile app for the chosen day.

Best practice: Plan routes that group nearby outlets together so reps spend less time travelling. Reps can also re-order their remaining stops on the device for a shorter drive, but a tidy starting plan saves the most time.

Geofence and auto-close

When a rep is near an outlet on the beat, the app helps confirm they're really there:

  • Geofence (about 500 metres) — when the rep gets within roughly 500 metres of a beat outlet, the app recognizes they've arrived ("you're here").
  • Auto-close after 30 minutes — if a visit is left open, the app automatically closes it after about 30 minutes so visits don't stay open by mistake.

Note: The 500-metre geofence and the 30-minute auto-close work in the background on the rep's phone. You don't configure them per plan — they apply automatically to beat visits.

Who can create beat plans

By default, managers and supervisors build beat plans for their reps. You can also decide whether reps may create their own routes.

You control this under Settings → Operations → Beat Plan Permissions.

  1. Open Settings → Operations → Beat Plan Permissions.
  2. Turn rep self-planning on or off.
  3. Save.

Note: Only an admin can delete a beat plan. Managers and supervisors can create and edit plans within their territory.

Tip: Let experienced reps plan their own days if you trust their coverage judgement; keep planning centralized when you want tight control over which outlets get visited and how often.
